How  create a platform for the productive interchange of ideas?

I'm working to prepare, with a group of documentation experts, the GraDoc (Graphic Documentation Systems in Conservation of Mural Paintings) meeting (see below), where I will be involved, as member of the ICR (Istituto Centrale per il Restauro), in Computer Aided Documentation.
I'm collecting digital experiences in the field of mural Painting documentation (mainly digital Condition report based on vector software) to have a complete view and an understanding of the advantages and disadvantages in computer aided documentation versus manual documentation.
Does anyone has experiences and/or articles or paper?
The final goal is the production of a bibliography and share this kind of information via web.
