DUTIES OF COMMITTEE CHAIRPERSONS

 

 

 

 

REFRESHMENTS COMMITTEE

 

1.      RESPONSIBLE FOR THE PURCHASE, PREPARATION, AND SERVING OF REFRESHMENTS AT THE MONTHLY MEMBERSHIP MEETINGS.  ALSO RESPONSIBLE FOR THE CARE, CLEANING AND STORAGE OF ALL UTENSILS, (CLUB OWNED OR ON LOAN) USED IN THE SERVING OF THE REFRESHMENTS.

 

2.      COORDINATES ACTIVITIES AS NECESSARY WITH THE CLUB VICE-PRESIDENT.

 

 

CALLING COMMITTEE

 

1.      SHALL HAVE THE PRIMARY FUNCTION OF CALLING MEMBERS IF DEEMED NECESSARY BY THE VICE –PRESIDENT PRIOR TO MONTHLY MEMBERSHIP MEETINGS, SCHEDULED EVENTS, PROGRAMS, OR TRIPS FOR THE PURPOSE OF REMINDING MEMBERS OF IT.

 

2.      COORDINATES ACTIVITIES AS NECESSARY WITH THE CLUB VICE-PRESIDENT.

 

 

PARADE COMMITTEE

 

1.      RESPONSIBLE FOR THE ENTIRE ORGANIZATION AND PLANNING OF THE CLUB’S PARTICIPATION IN THE ANNUAL VILLAGES CHRISTMAS PARADE AND/OR OTHER PARADES THE CLUB MAY CHOOSE TO PARTICIPATE IN DURING THE TERM YEAR.

 

2.      COORDINATES ACTIVITIES AS NECESSARY WITH THE CLUB VICE-PRESIDENT.

 

 

 

 

 

NOMINATING COMMITTEE

 

1.      SHALL CONSIST OF THE CHAIRPERSON AND TWO OTHER COMMITTEE MEMBERS SELECTED BY THE PRESIDENT.

 

2.      SHALL PREPARE A SLATE OF NOMINEES FOR EACH OFFICE, TO BE PRESENTED TO THE MEMBERSHIP AT THE OCTOBER MEMBERSHIP MEETING; SHALL TAKE NOMINATIONS FROM THE FLOOR FOR ANY OFFICE AT THE OCTOBER MEETING; AND SHALL PREPARE A BALLOT OF THE NOMINEES, TO BE VOTED UPON BY THE MEMBERSHIP AT THE NOVEMBER MEMBERSHIP MEETING.  ALL NOMINEES MUST GIVE THEIR CONSENT BEFORE THEIR NAMES ARE PLACED ON THE NOMINEE BALLOT.

 

3.      COORDINATE ACTIVITIES AS NECESSARY WITH THE CLUB VICE-PRESIDENT.

 

 

RULES COMMITTEE

 

1.      SHALL REVIEW THE PRESENT GUIDELINES AND DUTIES OF THE OFFICERS AND CHAIRPERSONS AT THE END OF THE YEAR, AND IF NECESSARY MAKE CHANGES.  CHANGES ARE THEN PRESENTED TO THE MEMBERSHIP FOR THEIR APPROVAL AT THE JANUARY MEMBERSHIP MEETING OF EACH YEAR.  THE COMMITTEE SHALL CONSIST OF THE CURRENT PRESIDENT, CURRENT VICE-PRESIDENT, AND ALL PAST PRESIDENTS.

 

 

MEMBERSHIP COMMITTEE

 

1.      REGISTERS NEW MEMBERS AND COLLECTS DUES FROM NEW AND EXISTING MEMBERS.

 

2.      TAKES ORDERS, PLACES ORDERS AND COLLECTS MONIES FOR CLUB MEMBER NAME TAGS, SHIRTS AND/OR OTHER SPECIAL ITEMS THE MEMBERSHIP DECIDES TO PURCHASE.

 

3.      MAINTAINS A ROSTER OF ALL CLUB MEMBERS, UPDATING AS NECESSARY, LISTING:  NAMES (LAST NAMES FIRST), CURRENT ADDRESS AND TELEPHONE NUMBER, AND CURRENT STATUS OF MEMBERSHIP DUES PAID.

 

4.      TURNS ALL MONIES COLLECTED FROM DUES, PURCHASE ETC. OVER TO THE CLUB TREASURER TO BE DEPOSITED INTO THE CLUB BANK ACCOUNT.

 

5.      COORDINATE ACTIVITIES, AS NECESSARY, WITH THE CLUB SECRETARY AND TREASURER.

 

 

 

SUNSHINE/HISTORIAN

 

1.      RESPONSIBLE FOR SENDING GET WELL, BEST WISHES AND/OR CONDOLENCE CARDS, IN THE CLUB’S NAME, TO ANY MEMBER WHO MAY BE SERIOUSLY ILL, HOSPITALIZED, OR MAY HAVE LOST AN IMMEDIATE FAMILY MEMBER.   WE ENCOURAGE ANY MEMBER WHO IS AWARE OF A MEMBER THAT THE CLUB SHOULD SEND A CARD TO, TO NOTIFY THE CHAIRPERSON OR ANY CLUB OFFICER OF THE NEED AND ADVISE OF ANY KNOWN DETAILS OF THE SITUATION.

 

2.      RESPONSIBLE FOR MAINTAINING A CLUB SCRAPBOOK OF NEWSPAPER ARTICLES, PHOTOGRAPHS OR OTHER PRINTED ITEMS ABOUT THE CLUB, CLUB MEETINGS, SOCIAL EVENTS OR TRIPS OF THE CLUB.

 

3.      COORDINATE ACTIVITIES, AS NECESSARY, WITH THE CLUB SECRETARY.

 

 

 

50/50 COMMITTEE

 

1.      HANDLES 50/50 TICKET SALES AT EACH MONTHLY MEETING (DISTRIBUTION OF TICKET SALES IS 50% TO THE MEMBERS IN ATTENDANCE THRU ONE OR MORE DRAWINGS DURING THE MEETING; AND 50% TO THE CLUB TO BE DEPOSITED IN THE CLUB BANK ACCOUNT BY THE TREASURER).

 

2.      COORDINATES ACTIVITIES, AS NECESSARY, WITH THE CLUB TREASURER.

 

 

MEETINGS  / SOCIAL EVENTS COMMITTEE

 

1.      SHALL BE RESPONSIBLE FOR SCHEDULING ALL SPEAKERS, ENTERTAINMENT, EVENT AND/OR PROGRAMS AT THE REGULAR MONTHLY MEETINGS.

 

2.      ACQUIRES APPROVAL FROM THE DIRECTOR OF ACTIVITIES, PRIOR TO SCHEDULING ANY SPEAKER, ENTERTAINMENT, EVENT OR PROGRAM.  IF THERE ARE ANY FEES PAID FOR ANY OF THESE, THIS TOO REQUIRES THE NECESSARY APPROVAL BEFORE SCHEDULING.

 

3.      SHALL ORGANIZE ANY SPECIAL SOCIAL EVENTS (NON SPORTING) HELD WITHIN THE VILLAGES.

 

4.      COORDINATES ACTIVITIES, AS NECESSARY, WITH THE DIRECTOR OF ACTIVITIES.

 

 

TRIPS/OUTINGS COMMITTEE

 

1.      SHALL ORGANIZE, SCHEDULE, ARRANGE TRANSPORTATION (IF NECESSARY), COLLECT MONIES, AND ARRANGE FOR PAYMENTS FOR ALL CLUB SPONSORED TRIPS/OUTINGS/SOCIAL EVENTS HELD OUTSIDE OF “THE VILLAGES”, i.e. tours, cruises, dinner theatres etc.

 

2.      OBTAIN APPROVAL FROM THE DIRECTOR OF ACTIVITIES PRIOR TO SCHEDULING A TRIP OR OUTING.

 

3.      COORDINATES ACTIVITIES, AS NECESSARY, WITH THE DIRECTOR OF ACTIVITIES

 

SPORTS COMMITTEE

 

1.      SHALL ORGANIZE, SCHEDULE, ARRANGE TRANSPORTATION (IF NECESSARY), COLLECT MONIES AND ARRANGE FOR PAYMENTS FOR ALL CLUB SPONSORED SPORTS ACTIVITIES, i.e. Professional sporting events, bowling nights, golf outings etc.

 

2.      OBTAINS APPROVAL FROM THE DIRECTOR OF ACTIVITIES PRIOR TO SCHEDULING AN ACTIVITY.

 

3.      COORDINATES ACTIVITIES AS NECESSARY WITH THE CLUBS DIRECTOR OF ACTIVITIES.
