Dear Prospective Employer:

I would like to be considered for any senior level Executive Assistant, Meeting Planner or Office Manager positions that you may currently have available. I have been working in the executive administration, office and facilities management, communications, marketing and meeting planning fields for more than 15 years. I am currently working as the Administrator for the FAA Demonstration Project for the Flight Operational Quality Assurance (FOQA) division of UTRS, Inc.

In my current position I report directly to the President and Chief Scientist of a highly confidential government project. In addition to the extensive administrative duties I perform, I also organize, from site inspection to final accounting verification, the coordination of several project meetings. My key meeting planning responsibilities are the FOQA Quarterly Meetings, which takes place in various cities around the world. I am also responsible for the FOQA Symposium; a vendor-attended conference for airline industries safety officials.

My many years of experience in the corporate world have provided a very strong administrative background. Prior to my current responsibilities, my strongest position thus far has been in the capacity of Meeting Planner for the American Law Institute. My key meeting planning responsibility was the Annual Meeting, which took place every May. This meeting, attended by approximately 900 of the Institute's elected members, is a highly regarded event in the legal field and includes the attendance of both past and present Supreme Court Justices, as well as other legal dignitaries.

My tenure as executive assistant to the Senior Vice President of Human Resources and Senior Vice President of Corporate Training and Communications also required me to perform general office management duties as well as corporate event planning; arrange and schedule meetings; make business travel arrangements; and multi-task various projects. I've personally planned and managed from conception to completion, two very successful weeklong off-site, out-of-state corporate meetings for senior and executive staff that included all developing schedules, contracts for facilities use, travel arrangements and on-site accommodations for 250 participants; secured speakers and celebrity entertainment; designed and negotiated promotional items; facilitated agenda coordination and provided on-site administrative support. I have been recognized several times for my successful efforts.

I am also responsible for the management of the corporate administrative staff. I’ve had the opportunity to get first-hand knowledge of budget planning and the maintenance process, as well as presentation requirements and all phases of desktop publishing. I also served as the editorial assistant of the corporate newsletter, SynerGE, both in print and online. In addition to my extensive software knowledge, I’ve had the opportunity to train others on software and I’m currently a certified Microsoft Office User Specialist (MOUS) for Word, PowerPoint, and Outlook.

I’d welcome the opportunity to talk to you personally about my abilities and experience. As you can see from my resume, I am highly qualified and know that I would be a valuable asset to your team. I am available for an interview at your convenience and would prefer to discuss salary expectations at that time. Please feel free to contact me via email or at the telephone number listed above.

Sincerely,

Diana M. Hansen
